Box Office Manager - SMG Pinnacle Bank Arena (Lincoln, NE)

POSITION:                     Box Office Manager

DEPARTMENT:            Box Office

REPORTS TO:              Director of Finance

FLSA STATUS:             Salaried Exempt

Summary:

SMG, the leader in privately managed public assembly facilities, has an excellent and immediate opening for the Box Office Manager for SMG {Facility Name}. This position oversees ticket sales and all aspects of box office operation.

Essential Duties and Responsibilities

Include the following. Other duties may be assigned.

  • Directs and oversees the internal control of daily operations as outlined in the SMG Box Office Manual.

  • Coordinates all event information between the promoter, facility personnel and the ticket company in a timely manner.

  • Works with event promoter and appropriate personnel to establish ticket pricing and seating configuration.

  • Builds and modifies all computer ticket events and issues computer access codes to facility management.

  • Coordinates with event promoters to establish the house scale for all ticket events.

  • Maintains communication with ticket company representatives for updates and/or revisions in computer operations.

  • Monitors daily ticket sales for all upcoming events and communicates information to the Director and promoter representative.

  • Prepares cash bank and daily accurate inventory of all tickets distributed and available for sale.

  • Prepares and presents the final box office statement for settlement of each event.

  • Responds to customer complaints and service requests to maintain a positive rapport with the ticket buying public.

  • Establishes files on each event that consist of seats on-hold for the building and promoter, complimentary ticket vouchers, event audits and ticket inventory schedules.

  • Assists or sells tickets as needed.

  • Opens and/or closes ticket window as required.

  • Accurately dispenses tickets as requested by patrons; accepts payment and makes change accurately.

  • Maintains accurate count when selling hard tickets or accesses computer for count of computer printed tickets.

  • Maintains accurate record of daily balance of cash received, tickets sold and change bank/vault.

  • Fills reservations for seats by telephone or mail, handles Will-Call window according to procedures or other related duties as assigned by supervisor.

  • Demonstrates excellent customer service skills, responds promptly to customer needs, responds to requests for service and assistance, able to work independently and handle most box office questions without assistance. 

  • Maintains accurate count of tickets sold, money received from ticket sellers and change banks.

  • Prepares and submits a daily report of business transactions.

  • Takes bank deposits.

Supervisory Responsibilities           

Supervises, schedules, instructs, and trains ticket sellers as to the proper selling procedures.  Is responsible for the overall direction, coordination, and evaluation of these units. Carries out supervisory responsibilities in accordance with SMG's policies and applicable laws.

 Education and/or Experience          

Bachelor’s Degree with a minimum of (3) three years directly related experience or equivalent education and experience

Skills and Abilities  

  •   Superior customer service and problem solving skills required.

  • Knowledge and experience with financial procedures and managing statistics electronically.

  • Pervious supervisor and leadership experience.

  • Advance computer skills including proficiency in Microsoft Office required. Experience with electronic ticketing systems preferred.

  • Must be able to work independently.

  • Ability to work irregular hours in addition to normal business hours as needed.

  • Excellent written and verbal skills, organizational ability, and interpersonal skills.

  • Ability to effectively supervise box office staff.

  • Ability to prioritize multiple projects.

  • Professional presentation, appearance and work ethic.

      

Computer Skills  

To perform this job successfully, an individual should have strong computer skills with ability to learn and master new applications.

Essential Duties and Responsibilities

Include the following. Other duties may be assigned.

·       Meet and greet all guests entering U.S. Bank Stadium, check for valid tickets when necessary.

·       Be personal and pro-active in providing assistance to all guests with the highest level of customer service and hospitality.

·       Assist guests by providing accurate directions to seating sections and key attractions within U.S. Bank Stadium and surrounding areas i.e. Plazas, Park, Light Rail.

·       Establish and maintain cooperative relationship with those contacted in the course of work.

·       Receive and quickly act upon requests or complaints from guests; refer serious problems to supervisory staff.

·       Retain an extensive knowledge of U.S. Bank Stadium layout, seating Sections, key venue attractions, key venue personnel identity, and emergency activity procedures.

·       Enforce stadium and league rules, regulations and policies.

·       Provide immediate assistance to and emergency notification of guests in the event of an accident or injury.

·       In the event of an emergency, assist in evacuating U.S. Bank Stadium, while maintaining a calm, professional demeanor.

·       Monitor all public areas to maintain order and safety.

·       Perform daily safety and security checks within assigned area as well as throughout the stadium; report all substandard or inadequate findings to supervisory staff.

·       Cohesively work in conjunction with other departments, including Minneapolis Police Department, security, food service, box office, retail, parking, custodial/housekeeping, and maintenance.

·       Perform additional functions and activities as directed by the Manager, Guest Experience.

Ticket Office Manager - SMG - U.S. Bank Stadium (Minneapolis, MN)

POSITION:                Ticket Office Manager

DEPARTMENT:         Box Office

REPORTS TO:          AGM – Sales and Marketing

FLSA STATUS:         Salaried, Exempt

Position Summary   

Under moderate supervision of the AGM – Sales and Marketing, oversee day-to-day ticket sales and all aspects of the ticket office operation for the facility by performing the following duties personally or through subordinates.

Essential Duties & Responsibilities

  • Coordinate the house scale for all ticket events.
  • Maintain security of cash bank and accurate inventory of all tickets distributed and available for sale.
  • Account for cash bank and receipts (cash and credit card) from ticket sales.
  • Prepare and present the final box office statement for settlement for each event.
  • Create and produce all box office sales reports.  Account for ticket sales for each event and provide accounting with reconciled daily activity reports.
  • Respond to customer complaints and service requests to maintain a positive rapport with the ticket buying public.
  • Attend weekly staff meetings. 
  • Attend all pre-event production meetings and post event de-briefs. 
  • Develop and maintain a positive harmonious working relationship with all the other departments.
  • Work all Vikings games in a capacity determined by AGM – Sales and Marketing.    
  • Responsible for overseeing floor set for concerts: being present when floor is marked, checking floor set for accuracy.   
  • Manage Ticket Office Coordinator and part time-ticket sellers. 
  • Work extended and/or irregular hours including nights, weekends and holidays, as needed.
  • Other duties as assigned.

Qualifications & Skills

  • Understand all aspects of box office operations.  Possess a working knowledge of computer ticketing systems and the ability to update, integrate and implement procedure in response to state-of-the-art changes.
  • Comprehend and use bookkeeping principles and standard accounting practices.
  • Apply principles of organization, supervision, training, personnel development, staffing and scheduling.
  • Recognize and solve problems rapidly and effectively while handling a large volume of tickets and cash in a fast-paced environment.
  • Calculate figures and amounts such as discounts, interest, commissions, proportions and percentages accurately and efficiently.
  • Operate standard office equipment including copier, scanner and fax machine.
  • Follow oral and written instructions and communicate effectively with others in both oral and written form.
  • Organize and prioritize work to meet deadlines. 
  • Work effectively under pressure and/or stringent schedule and produce accurate results.
  • Remain flexible and adjust to situations as they occur.

Minimum Education & Experience

  • Bachelor’s degree from an accredited four-year college or university.
  • Minimum of three (3) years in the public assembly industry in a supervisory or management position; or equivalent combination of education and experience. 
  • Ticketmaster experience preferred.

Supervisory Responsibilities

Manage subordinate supervisors who are responsible for the employees of the Box Office.  Responsibilities include interviewing, hiring and training employees; planning, assigning and directing work; scheduling; appraising performance; rewarding and disciplining employees; addressing complaints and resolving problems.

Computer Skills

  • Operate computerized ticketing system.
  • Operate event booking/scheduling software.
  • Operate a personal computer using Windows, Office and other standard office equipment.
  • Must have strong computer skills, Excel and Word.  Knowledge in Peachtree Accounting Software a plus.

Physical Demands
